   01. Deleting Mail
 
     
   You should delete any unwanted mail periodically in order to keep your account storage under the allocated space limit.  
     
 
 1. Double-click your Mailbox to open it.
 
 2.   Click once on the mail message you want to delete to highlight it.
 

 
 3.   Click the Delete button in the toolbar.
 

 
 4. You will be prompted to choose Delete or Cancel. Choose Delete if you really wish to delete the message.
 
 5. You may also delete the mail message when the message is open for reading by clicking the Delete button in the toolbar.

 

 

 
     
   02. Sorting Messages (by Sender, Date, Etc.)

  You can sort your messages in your mailbox in a number of ways:  
     
 
 1. Double-click your Mailbox to open it.
 
 2.   Locate the bar above the mail messages.
 

 
 3.   Notice that you can sort by a variety of options:

Clicking any one of the buttons in the bar will sort your mail messages in either descending or ascending order. The Descending/Ascending icon will appear on the button you choose for your sort. Clicking the button again will change the sort order.

 5.  Clicking the button again will change the sort order.
 
     
   03. Grouping and Ungrouping Messages
 
     
   Messages in your mailbox can be grouped in several ways. Grouping messages helps keep related messages and their replies
 together.
 
     
 
 1. Double-click your Mailbox to open it.
 
 2.   Right-click (PC) or Control-click (Mac) in the Mailbox window to open the menu that will allow you to select Change View Properties...
 
 3.   Click the Sort tab, and select how you would like to group your messages from the Group items on: menu.

It is most logical to group by subject, so that you may keep messages and their subsequent replies together.


 
 4. Click OK.
 
 5. A Collapse/Expand Group button will appear above your mail messages.

On the PC, this will appear as a + or -. On the Mac, this button will appear as an up or side arrow.
 

 6. Clicking the Collapse/Expand Group button will display or hide messages that are grouped together:
 
 
     
   If you cannot seem to find messages or replies that you know you have sent or received, check the grouping settings to see if the
 messages have been collapsed into a group.
 
     
  04. Creating Folders to Organize Saved Messages

   It is a good idea to save important mail messages so that you can refer to them later without having to print them and file them.
 In FirstClass, you can create folders inside your Mailbox to help you organize your mail.
 
     
 
 1. With your Mailbox open, locate the New Folder button in the toolbar.
 

 


 

 2.   Click the New Folder button.

Or, Right-click (PC) or Control-click (Mac) in the mail window and choose New Folder.
 

 3.   A New Folder will appear in your Mailbox.
 

 
 4. Right-click (PC) or Control-click (Mac) on the folder and select Rename.
 
 5. The New Folder name will be highlighted. Use the backspace key to delete the New Folder text, and type a new name for the folder (i.e. Faculty Bulletins, Departmental Mail, GEA mail, English Class, etc.)
 
 6. Press the Return (Enter) key to finish naming the folder.
 
 7. Click on your mail messages and drag them into the appropriate folders.
 
     
  05. Changing the Mailbox View -- Split View

   It is easiest to keep your mail organized if you separate your folders from your mail mail messages.
 The best way to do this is to create a split view of your mailbox.
 
     
 
 1. Double-click your Mailbox to open it.
 
 2.   Choose the View menu and select Split.
 

 
 3.   Select Split Horizontal or Split Vertical according to your preference.
 

Your folders will be separated from your mail messages to make organizing more convenient.

 4. You can resize the split by dragging the bar in between the folder space and the mail message space.
 
 
     
   06. Changing the Expiration Date of Saved Messages
 
     
   Mail messages are set to expire in 90 days by default.
 If you do not change the Expiry Period on your mail, it will be deleted by the system.
 
     
 
 1. On the PC, Right-click your mail message and choose Properties...
 
    On the Mac, Control-click your mail message and choose Get Info...
 

 
 3.   The message properties window will open.

You can see the date that your mail message will expire, how many days are left until expiry, and the length of the expiry period. (Again, by default the expiry period is 90 days).


 
 4. Change the Expiry period by selecting the Expiry period dropdown menu.

 


 
 5. Selecting Other will allow you to specify the exact number of days for your Expiry period.
 6. Click OK to apply the changes.
 
     
   07. Deleting Folders
 
     
 
 1. Double-click your Mailbox to open it.
 
 2. Click once on the folder you wish to delete to highlight it.
 

 
 3.   Click the Delete button in the toolbar.
 
 4. You will be prompted to choose Delete or Cancel. Choose Delete if you really wish to delete the folder.
You will be asked to confirm that you really want to delete the folder and everything inside it.
Choosing this option will delete everything inside the folder in addition to the folder!
 
     
   08. Deleting Folders Without Deleting Messages Inside
 
     
 
 1. Double-click your Mailbox to open it.
 
 2. Double-click the folder you wish to delete to open it.
 

 
 3. Drag your mail messages out of the folder and into your mailbox window.
 

 
 4. Delete the folder.
