Calendars
1. Calendar Basics
Your FirstClass Calendar is like a personal organizer that allows you to:

   * add personal and school-related events, such as birthdays, or tests and meetings
   * invite other participants to calendar events
   * repeat events periodically
   * set reminders for events
   * add attachments

You access your calendar by double-clicking your Calendar icon on the FirstClass Desktop.

2. Adding Events
1. Double-click your calendar to open it.

2. Click on the New Event button (clock).

3. There are three tabs in the Event window: Event, Participants, and Advanced. By default, your new event will open to the Event tab.

4. In the Event tab, enter as much information as you wish to appear on your calendar event. All information is optional, but you will usually want to at least enter a description and  start/end dates and times.

- Description: Short description of the calendar event

- Location: Where the event will be held

- Start date and time: Click the dropdown to bring up a calendar and select a start date/time.

- End date and time: Click the dropdown to bring up a calendar and select a start date/time.
(Entering a start date/time and end date/time will automatically adjust the duration. Entering a start date/time and adjusting the duration will automatically adjust the end date/time.)

- Duration: (see above)

- Color: Choose a color for the event as it is displayed on your calendar.

- Reminders: Set a reminder for the event. You will be sent an e-mail to remind you of your event, or if you're logged in, a dialog box will appear with a reminder message.

3. Inviting Participants and Managing Invitations
You can invite other Glenbard users to an event by adding Participants. Participants will be sent an e-mail invitation that they can accept or decline.

1. Open your calendar and either create a new event, or double-click on an event you've already created.

2. In the Participants tab, enter names of other Glenbard users who may be participating in the event.

3. This will send participants an e-mail invitation to attend the event. Users can accept or decline the event invitation. Accepting the event will add it to the user's calendar.
NOTE: Any time you edit an event, the participants will be sent an e-mail.

4. Setting Reminders
You can set a reminder for any calendar event.

1. Open your calendar and either create a new event, or double-click on an event you've already created.

2. In the Event tab, click the Time before event: radio button and click on the dropdown menu.

3. Choose a reminder time from the dropdown list.

4. When the reminder is sent, it will appear as an e-mail in your mailbox. If you are logged in at the time of the event, a pop-up window will appear.

- Click Details to display the full calendar event window.

- Choose a Snooze time limit from the Snooze dropdown menu and click Snooze to temporarily dismiss the reminder.

- Click Dismiss to close the reminder window.

5. Repeating Events and Editing Repeating Events
Sometimes you will have a recurring event, such as a weekly meeting or monthly event. You can repeat events created on your FirstClass calendar.

To repeat a recurring event:

1. Open your calendar and either create a new event, or double-click on an event you've already created.

2. Click the Advanced tab.

3.  Choose a Repeat interval and a Repeat until date using the dropdown menus.

Repeat until will bring up a calendar. Click any date to set the Repeat until date.

If you edit a repeating event you will be prompted to make a choice:

- Cancel: Cancels changes to the event
- All: Edits all occurrences of the event
- Future: Edits future occurrences of the event
- Current: Edits only this occurrence of the event

6. Deleting Events
1. Open your calendar and click on the event you wish to delete.        
2. Press the Delete key on your keyboard, or click the Delete icon in the toolbar. The event will be removed from your calendar and the calendars of all participants you invited.

 3. If the event is a repeating event, you will be prompted to make a choice:

- Cancel: Cancels deletion
- All: Deletes all occurrences of the event
- Future: Deletes future occurrences of the event
- Current: Deletes only this occurrence of the event
7. Changing Calendar Views
1. Open your calendar.

2. To navigate to other days/months/years, use the arrows or dropdowns in your calendar view:

3. To change your calendar view, use the buttons in the Calendar toolbar.

- Show Today List: This is a toggle button that will display today's events in a side window in your calendar view:

- Go to Today: Clicking this will take you to today's date in your calendar (if you're in a different month/year)

- Day: Displays only the events for a single day:

- Work Week: Displays Monday through Friday (5 days):

8. Sharing Calendars with Others
If you want to share your personal calendar with someone else, you can add them as a subscriber. This will put a copy of your calendar on their FirstClass Desktop, and when you update your calendar, the updates will appear on their copy.

To add subscribers:

1. Right-click (PC) or Control-click (Mac) on your calendar and choose Subscribers...

2. In the dialog box, enter the name of the user you want to add.

3. Click Add. You should see the user's name appear in your Subscribers list.

4. A copy of your calendar will appear on the user's desktop. He/she can drag it to a new location in the Desktop.
9. Renaming Calendars
If you decide you want to share your calendar with other users, you may want to rename it (instead of leaving it the default "Calendar.")

To rename your calendar:

1. Right-click (PC) or Control-click (Mac) on your calendar and choose Get Info...

2. Enter a new name for your Calendar.

3. Click OK.
10. Adding Others' Calendars to your Desktop
You can add shortcuts to other calendars to your desktop (computer lab calendars, etc.) by:

1. Locate the calendar you want to add.

2. Right-click (PC) or Control-click (Mac) and choose Add to Desktop.

3. A copy of the calendar will appear on your FirstClass Desktop.

4. You can drag the calendar icon to any open spot on your FirstClass Desktop.
